Reservation Request

Please submit reservation requests a minimum of seven (7) business days prior to the event date. If the event requires security or audio-visual planning, please submit requests a minimum of ten (10) business days prior to the event date. Requests submitted less than seven (7) business days before the event date may not be able to be reviewed or processed, which may cause the request to be declined.

The staff will be happy to make every effort to accommodate your request and will contact you to let you know if we are able to confirm the event.

Reservation requests are reviewed and processed during normal business hours, Monday-Friday 8am-5pm (excluding holidays and University breaks).

Event Information

Please Note Allen Chapman Student Union will try to honor requests for a specific meeting room; however, based on the current event schedule and event turnaround needs, may not be able to book the desired meeting room. All rooms will be considered and the room with closest in size to the preferred room may be booked.

Outdoor Spaces

Any events occurring in an outdoor space are subject to the University's Outdoor Event Policies, which can be viewed here.
The Student Union does not provide any furnishings (tables/chairs) or technical equipment/support for outdoor events.

Time is automatically built in for room setup and Dining Services, only include time you will need access to the room.

Room Setup Needs Use of outside or personal equipment must be discussed immediately (918-631-2076)

Please Note Allen Chapman Student Union does not provide any technical equipment/support for outdoor events. Please list any equipment you will be bringing or outsourcing.


The University requires that all food and beverages be purchased through Dining Services at 918-631-2145. Homemade items are NOT permitted. Prepackaged items under $100 in value might be exempt from this policy (applies to TU Student Groups and Departments ONLY). Some rooms are not available for events exempt from this policy. Appeals granted by Dining Services to this food and beverage requirement must be discussed by Allen Chapman Student Union prior to Space Reservation Request confirmation being extended.

Must complete a Self-Catering REQUEST Form -- the SCR must be approved by BOTH Dining Services and Allen Chapman Student Union Management. Catering attendant required & charges apply. Contact Dining Services to discuss charges & the SCR process.

  • Security University-assigned officers for events with alochol, and/or over 100 attendees, and/or open to the public.
  • Attendants Catering-assigned attendants for all self-catered events approved by both Allen Chapman Student Union and Sodexo.
  • Alcohol Events Register through the Office of Student Affairs. Contact through Dining Services. Bartending fees apply.
  • AV/Technical Equipment and/or technician contracted from an outside source if Allen Chapman Student Union is unable to provide them.
